How should it be applied?

Replace — anything in the file wins. What is here now under the same name is overwritten. Add only what is missing — keeps everything on this computer as it is and brings in only rosters, sections and settings that are not here yet. The safe option when merging two machines. Combine, file wins on a clash — keeps what is only here, adds what is only in the file, and takes the file’s copy where both have the same named record.

Send directly to another device

Skip the file. Pair this browser with another device over Wi-Fi — a QR code shown here and scanned there, the same way Classroom Timer’s mirror works — and send the same backup straight across the connection. Nothing is written to disk on either end. Works only when both devices can reach each other directly (the same classroom Wi-Fi or LAN); it cannot cross the open internet.

End of the school year

Archiving a year is one workflow, not two: take a full backup, then clear the student data and keep everything you spent the year building. Nothing is cleared until the backup file has actually downloaded.
